Privacy Policy

Last updated: July 1, 2025

1. Introduction

At Sinthax, Inc. ("Sinthax", "we", "us"), we respect your privacy. This Privacy Policy explains what personal data we collect, why we collect it and how we use it when you interact with our SaaS platform for conversational AI agents.

2. Data We Collect

2.1 Account Information

When you sign up using a third-party identity provider (Google, GitHub, etc.) we receive your name, email address and—where available—your profile picture.

2.2 User-Generated Content

We store messages, forms, responses and files that you or your users submit during conversations with the agents.

2.3 Payment Data

Payments are processed by Stripe. We do not store your credit-card details; Stripe provides us only with customer and subscription IDs needed for billing.

2.4 Technical Data

We automatically collect certain information (logs, truncated IP address, browser type, etc.) to ensure the security and performance of the Service.

3. How We Use Data

  • Provide and maintain the Services;
  • Administer billing and subscriptions;
  • Improve our products through aggregated, anonymised analytics;
  • Ensure security and prevent fraud;
  • Communicate with you—for support, product updates and important notices.

4. Data Sharing

We do not sell your personal data. We only share information with:

  • Stripe for payment processing;
  • AI providers (e.g. OpenAI, Google, Groq) to generate conversational responses and summaries. When you interact with an agent, the conversation history—which may include personal information if you provide it—is sent to these providers to enable the service. We do not explicitly send your account identifiers like email or user ID in these requests, but any information you type into the chat will be processed by them;
  • Hosting and infrastructure providers;
  • Competent authorities when required by law.

5. Cookies and Tracking Technologies

We use cookies and similar technologies to provide and operate the Services. A cookie is a small piece of data stored on your device. We use essential cookies to maintain your session and authentication status. These are necessary for the Service to function and cannot be disabled. We do not use cookies for advertising or non-essential analytics.

6. Data Within an Organization

If you use our Services as a member of an organization (e.g., your employer), your organization's administrators may have the ability to access and control your account and the content within it. Your organization's use of the Services is subject to its own policies, and you should direct your privacy inquiries to your organization's administrator.

7. Security

We implement appropriate technical and organisational measures to protect your data from unauthorised access, alteration or destruction.

8. Data Retention

Account data is kept for as long as your account remains active. Logs and backups are retained for limited periods in line with legal obligations and operational requirements.

9. International Data Transfers

Your information, including personal data, may be transferred to—and maintained on—computers located outside of your state, province, country, or other governmental jurisdiction where the data protection laws may differ from those in your jurisdiction. We rely on appropriate safeguards, such as the European Commission's Standard Contractual Clauses, for international transfers of personal data.

10. Your Rights

Depending on where you live, you may have the right to access, correct, delete, restrict or port your personal data, and to object to certain processing activities. To exercise these rights, contact us at support@sinthax.com.

11. Children

The Services are not directed to children under 16. If you become aware that your child has provided us with personal data, please contact us so we can delete it.

12. Changes to This Policy

We may update this Privacy Policy to reflect legal, technical or business changes. If we make material changes, we will notify you by email or through the Service.

13. Contact

If you have any questions about this Policy or how we process your data, write to us at support@sinthax.com.
